Set up auto-share of asset visibility for account hierarchies

In this article, you’ll learn how to enable and configure auto-share across your account hierarchy.

Auto-share lets a parent account automatically gain visibility of assets from its sub-accounts - no manual sharing required.

This is ideal for organizations with multi-level account structures that need centralized oversight. Once enabled, assets owned by selected sub-accounts are automatically shared with the parent account, ensuring visibility stays accurate and up to date as your organization grows.


Before You Start

Make sure the following conditions are met:

  • You are assigned an Admin user role (required to access the Administration page).

  • You have Identified the parent account you want to configure auto-share on.

    • This is the account that will receive visibility of assets from sub-accounts below it.

    • You can configure auto-share on the account you are currently logged into, or on another account in the hierarchy that has sub-accounts beneath it.

  • You have decided which sub-accounts to include in the auto-sharing — either specific ones or all sub-accounts.


Step 1: Navigate to the Administration Page

  1. Log into Trackunit Manager.

  2. Navigate to the Administration page from the navigation bar.

  3. Click on the Accounts tab.

  4. Select the parent account you want to configure auto-share for

Step 2: Activate Auto-Share

If auto-share has not been set up before, you will see an empty state prompting you to activate it.

Click Activate to begin.


Step 3: Configure Your Settings

After activation, you can configure two optional settings (both enabled by default):

1. Metadata Sync

Keeps asset metadata (such as asset names) synchronized between the sub-account and the parent account.

  • Updates every 24 hours after the initial sync

  • Minor temporary discrepancies may occur after recent changes

2. Act as Previous Owner

Allows the parent account to move shared assets across the hierarchy — not just view them — if the parent account is set as an administrative account in the hierarchy.

These settings apply to all the sub-accounts you'll include next.


Step 4: Select All Accounts or Specific Sub-Accounts

Choose one of the following:

1. All Accounts (Recommended)

Includes all current and future sub-accounts automatically. This option is best for scalability and requires minimal maintenance.

2. Selected Accounts

Manually select up to 100 specific sub-accounts.

💡 Tip: We recommend using All Accounts whenever possible, as it automatically includes new sub-accounts.


Step 5: Save Your Configuration

Review your settings and click Activate to confirm.

Auto-share is now active for the selected sub-accounts.


Editing an Existing Configuration

If auto-share is already configured, you will see a summary that includes:

  • The number of included sub-accounts

  • The total number of shared assets

  • The settings that have been configured

To make changes:

  1. Click Manage auto-share in the bottom-right corner of the sub-accounts table.

  2. Update your settings or adjust included sub-accounts.

  3. To reset the configuration completely, select Delete all.
