What is a Portal?
A Portal is a branded version of Trackunit Manager that you give to your customers. It reflects your company’s look and feel while showing only the data and features you choose to share.
Portals help connect OEMs, dealers, rental companies, contractors, and end users across the off-highway ecosystem.
Your customers don’t need a Trackunit account or subscription to use the portal you set up.
How to create a Portal
You need to be an Admin to create Portals. Read more about user permission and roles here
Before you start, prepare the following:
Add or import customers under the Customers page
Assign assets to each customer that you want to share with them
(Optional) Prepare your branding theme
(Optional) Create a reusable Portal template
(Optional) Create a Home to be added to the portal
(Optional) Set up SSO/API configurations (if your customers already use internal credentials - we can configure SSO to automate creation and invites)
Find the customer:
Log in to Trackunit Manager
Go to the Customers page
Click on a customer to open their profile
Confirm that the customer type and the assigned assets look correct
In the customer profile, open the Portal tab
Portal Setup
Click Portal Setup to select apps, views, and capabilities that your customer can access.
You can choose between two options:
Use a Portal template: Select an existing template and assign it to the customer. If you select a portal template you will skip remaining steps of the setup, as the portal template already contains selected features and branding.
Note: Portal templates have to be set up in advance and cannot be created during the portal creation process. Learn how to create Portal templates here
Setup custom Portal: Configure the setup manually and choose which features the customer can access.
Note: Creating a custom portal means that the portal is only available for this one specific customer and cannot be reused for other customers. Only features in your own pricing plan or paid add-ons can be added to the portal. We recommend to start minimal.
Branding & Themes (Optional)
This step only appears if you selected Custom setup in the previous step.
Under Branding & Themes , select the theme your customer will see the portal in

Homes (Optional)
This step only appears if you selected Custom setup in the previous step.
Under Homes to choose the Home layout your customer will see in the portal.

Review, save and share your portal
Note: This applies only to manual invites. If your organization uses SSO, please reach out to your Trackunit representative for an API-based setup.
Once your Portal setup is complete:
Click Create link to generate an invite link
Click Copy link and share it with your customer as you see fit
Note: The link can only be used once and will expire automatically. You can see the expiration date just beneath the link.
Your customer clicks the link to create a profile and accepts the portal’s terms and conditions
After the customer accepts the invite, the invite link is replaced with an overview of the customer’s apps, branding theme and Home
Customer onboarding
After accepting the invitation:
The customer creates an account (unless SSO is enabled).
The first registered user becomes the Portal administrator.
The Portal administrator can invite additional users.
Standard login
Customers create a dedicated Portal account using the invitation link.
This account is separate from Trackunit Manager.
Single Sign-On (SSO)
If SSO is configured, users access the Portal using their existing company credentials.
Impersonate a Portal
To see what Portal a customer has assigned to them, and to preview what your customer sees:
Go to the Customers page
Click on a Customer
Open the Portal tab
Click the three-dot menu and select Act As
Note: You cannot impersonate a portal while impersonating another account.
Note: The Act As option is only visible when you are logged in directly as the user who created or manages that specific Portal. It will not appear when accessed through another account or admin view.
Automate with API (Advanced Option)
You can automate customer creation, portal setup, branding, and invitations via API.
Portals commonly use SSO for secure, seamless access. This is recommended for large-scale rollouts.
