Where can I see the list of assets I pay for?

You can see the list of assets you pay for in the Billing Overview in your admin account settings.

The Billing Overview allows organization owners and administrators to see details about the assets they are billed for, including subscription information, fleet counts, and other key metrics. Here's a step-by-step guide to accessing and using this feature.

Who can access the Billing Overview?

  • The Billing Overview is available to customers on the following plans: Link, Lift, Leap, Explore, Evolve, or Expand. Check your invoice to confirm which plan you’re on.

  • To view the Billing Overview, the account must be marked as the Organization owner. By default, this is usually assigned to the top account of the organization. If you need this feature enabled for a different account, please contact our Customer Support team.

  • Only admin and fleet admin users can access the Billing Overview.

The Billing Overview contains two tabs: Fleet Billing and Asset Billing.

How to access Fleet Billing

Follow these steps to view your organization's fleet billing details:

  1. Sign in to Trackunit Manager.

  2. Open the Administration app from the left menu.

  3. Navigate to Billing Overview.

  4. Select the Fleet Billing tab.

  5. Review the following information:

    • Your current subscription plan.

    • The Fleet count KPI summarizing the total number of visible assets.

    • ISO feeds and add-ons associated with your subscription.

    • A list of associated accounts with visible asset breakdowns.

    • Fleet count fluctuation chart.

  6. Optional: Select Download CSV to export a file listing individual assets contributing to your fleet count.

What information is available in the Fleet Billing tab?

The Fleet Billing tab focuses on key subscription details and metrics, including:

  • Fleet Count: A monthly summary of all visible assets contributing to your organization's billing.

  • Basic KPIs: Includes subscription plans, add-ons, and ISO feeds.

  • Fleet Trends: A chart showing fluctuations in the number of assets.

    • Hover over specific days in the chart to see daily fleet counts.

  • Account Breakdown: A detailed list of associated accounts, their fleet counts, and ISO feeds.

  • Export Option: Download a CSV file to view a list of assets contributing to your fleet count for verification or analysis.

Good to know about the fleet metrics

  • Fleet Count Calculation: Any asset visible to an account for even a few hours during the month is counted as an asset for the entire month.

  • Daily Updates: The Fleet Billing is updated daily, providing the most accurate data.

  • Download CSV: Additionally, admins can download a CSV file detailing the exact assets contributing to the fleet count, and they can toggle between different months to review historical data.

    • For example, an admin could verify their November invoice by matching it against the exported list for the month of October.

How to access Asset Billing:

Follow these steps to view your organization's asset billing details:

  1. Sign in to Trackunit Manager.

  2. Open the Administration app from the left menu.

  3. Navigate to Billing Overview.

  4. Select the Asset Billing tab.

  5. Get an overview of all of the assets you have an active subscription for

    • Order the list on the subscription date and you will see which ones are nearing the cancellation date

  6. Optional: Click Export to get a file containing all the subscriptions currently active for your organization.

What information is available in the Asset Billing tab?

The Asset Billing tab focuses on the purchased telematics devices including their subscription start and end dates. The list includes asset names, asset and telematics device serial numbers, external reference numbers, and other asset metadata. The overview is updated daily.

Key information includes:

  • Start Date: The date the subscription started for each asset

  • Billed Until: The end of the current billing period; a new invoice will be issued the day after

  • Cancellation Date: The date the subscription ends for each asset; can be empty, depending on the billing terms agreed for each subscription

  • Metadata: Metadata pertaining to each asset, for easy identification.

The content in the columns can be sorted, allowing you to easily prioritize information. For example, you can focus on subscriptions nearing cancellation or the end of their billing period, depending on your needs.

Expired licenses will remain visible in this view for up to 30 days after their expiration date, making it convenient for reporting and analysis.
