Configure Access Management and Locking Modes for your assets

Configure Access Management settings for individual assets to determine how the assets should lock and unlock.

With Access Management, you can remotely control and configure access settings for your assets on construction sites. This allows you to decide who can operate your assets and under what conditions, enhancing security and flexibility.

Access Management configuration enables you to define how each asset should behave regarding operating access.

This system helps you manage access dynamically and remotely, ensuring greater security and control over your assets.

You can set your assets to one of the following Modes:

Mode:

Locked for all

No one can access the asset, even if they have a valid key.

green circle

Unlocked for all

Anyone can access the asset, even without a key.

This effectively disables Access Management for that asset.

Locked for key

Access Management is enabled, requiring operators to present a valid key to use the asset.

How to navigate to the Access Management configuration:

You'll need to be an Admin or Fleet Admin to configure assets for Access Management. Read more about user roles here.

Log in to Trackunit Manager

  1. Navigate to the Assets page in the left-hand menu.

  2. Locate and click on the asset that you want to configure.

  3. From Asset Home, click on the Access Management tab.

  4. Click on the Configuration tab.

Access Management Modes and their Functions

The Access Management system offers different modes to control asset access.

Below is a detailed explanation of each mode, its use cases, and the corresponding LED behaviors on the keypad mounted on the asset.

Locked for all

When the Access Management configuration is set to Locked for all, the asset is completely locked. Even operators with valid keys cannot unlock or operate the asset.

When to Use ‘Locked for all’

Use this mode to ensure that no one can access the asset under any circumstances.

Typical use cases include:

  • A reported safety incident requires the asset to be inspected by a technician before further use.

  • The asset has been delivered to a site, but the rental contract has not started.

  • A customer has outstanding payments, and asset usage should be restricted until the issue is resolved.

Note: Once set to Locked for all, the machine is inaccessible to everyone, including technicians with fleet-wide access keys. To enable access, change the setting to Unlocked for all or Unlocked for key.

LED Behavior

  • The keypad will display a solid red light, indicating that the machine is locked.

  • Any key (PIN, key card, or digital key) will be rejected.


Unlocked for all

When the Access Management configuration is set to Unlocked for all, the asset does not require any key for operating. Anyone can start and use the asset.

When to Use ‘Unlocked for all’

Use this mode when Access Management is unnecessary or not required.

Typical use cases include:

  • Assets placed in public or shared work zones where any operator on site should have access.

LED Behavior

  • The keypad will display a solid green light, indicating the asset is accessible to all.


Unlocked for key

When the Access Management configuration is set to Unlocked for key, a valid key (PIN, access card, or digital key) is required before the asset can be started.

When to Use ‘Unlocked for key’

Use this mode when Access Management is needed to ensure that only authorized personnel can operate the asset.

Typical use cases include:

  • Restricting asset access to specific operators.

  • Maintaining a detailed usage record of who operates each asset.

LED Behavior During Unlocking

  • Before a key is presented: The keypad will display a solid red light.

  • When a valid key is presented (PIN or keycard): The keypad will flash green, indicating a grace period in which the operator must start the engine. The grace period is defined in the Immobilizer Mode section.

  • Once the engine is started: The green light will turn solid.

If no action is taken during the grace period, the asset returns to a locked state.


Locking the asset

When set to "Unlocked for key", the system automatically locks the asset after it is turned off, following a defined grace period. The grace period is defined in the Immobilizer Mode section.

LED Behavior During Locking

  • Immediately after shutdown: The keypad flashes red, indicating a "lockdown grace state."

  • During the grace period: The operator can restart the engine without presenting a key.

    • If restarted, the LED will return to solid green.

  • After the grace period expires: If no action is taken, the asset locks, and the LED will return to solid red, requiring a key for access.

Immobilizer Modes and their Functions

Immobilizer Modes determine the grace periods for unlocking and relocking assets and the sensor signals that trigger these grace periods.

Sensor Settings (Sensor)

The sensor determines what action deactivates the locking mechanism and moves the asset into an unlocked state.

Available Sensor Options

  • Ignition sense: Starting the engine neutralizes the grace period and unlocks the asset.

  • Boom sense: For boom lifts, lifting the boom neutralizes the grace period and unlocks the asset.


Unlock Grace Period Settings (Asset stays unlocked)

Configure how long the asset remains unlocked after a valid key is presented. During this period, the operator must trigger the selected sensor (ignition on or boom lift) to prevent automatic locking.

Available Unlock Durations:

  • 30 seconds

  • 60 seconds

  • 90 seconds


Locking Grace Period Settings (Asset locks)

Configure how long the operator has to restart the asset before it locks again.

Available Grace Period Durations:

  • 1 second after ignition off/boom down

  • 30 seconds after ignition off/boom down

  • 60 seconds after ignition off/boom down

  • 90 seconds after ignition off/boom down

  • 2 minutes after ignition off/boom down

  • 10 minutes after ignition off/boom down

  • 15 minutes after ignition off/boom down

  • 30 minutes after ignition off/boom down

  • 1 hour after ignition off/boom down

  • 2 hours after ignition off/boom down

  • 4 hours after ignition off/boom down

  • 8 hours after ignition off/boom down

  • 16 hours after ignition off/boom down
