Inspections help you proactively manage the condition and compliance of your fleet by enabling structured, digital pre-use checks of your assets. With Inspections, field teams can quickly record asset status, flag issues, and attach photos or notes — all in one place. This ensures better uptime, reduces unexpected downtime, and improves operational safety across your organization.

Inspections are ideal for fleet managers, maintenance teams, and operators who need consistent, auditable checks on equipment condition to support preventive maintenance, compliance reporting, and data-driven decision-making.

How Inspections Work

Inspections consist of two connected flows:

1) Set up inspection templates in Trackunit Manager and 2) Submit Inspection responses using the Trackunit On app.


1. Set Up Inspections (Trackunit Manager)

Before an inspection can be completed, an inspection template must be created and assigned to an asset.

  • Only Admins or Fleet Admins can create and assign inspection templates.

    If you don’t have the required role, contact your company’s account admin.

  • Inspection templates can be assigned to specific assets.

  • Inspection results can be reviewed in Trackunit Manager.

  • You can configure automatic notifications to alert selected contacts (for example, technicians) if an asset fails an inspection.

This ensures standardized inspections and full visibility of asset status.


2. Complete Inspections (Trackunit On)

Operators complete inspections on-site using the Trackunit On app, typically before using the asset.

  • Operators must be invited to your organization and accept the invitation to the On app.

  • You can assign a QR code, barcode, Asset ID, or license plate to an asset in Manager by adding the custom field “QR codes” under Specifications.
    Alternatively, you can assign QR codes or barcodes directly in the Go app, allowing operators to scan and identify the asset before starting an inspection.

    • Important: The scanner only searches the value stored in the QR codes custom field, so this field must contain the exact value operators will scan.


Inspection outcome

  • If the asset passes → The operator can use it immediately.

  • If the asset fails, the operator is notified in the app and an event is triggered in Trackunit Manager to alert responsible contacts (with optional email notifications). Appropriate action can then be taken, such as inspection or repair. If Access Management is enabled, the asset can also be remotely locked in Trackunit Manager until it is safe to operate again.

This workflow helps ensure that only safe and compliant assets are put into operation, while issues are flagged for immediate follow-up.

Create inspection templates

  1. Sign in to Trackunit Manager

  2. Go to the Inspections app

  3. Open the Templates tab (default)

  4. Click Create New Template

  5. Enter a Template name

  6. Add your first inspection question

    • (Optional) Add a description and image

  7. Click Add Question to include more questions

  8. Click Save when finished

    💡 Tip: To edit an existing template, go back to the Inspections app, open Templates, click on the three dots under Actions and select Edit.
    Save when done.

Assign an inspection template to assets

  1. Sign in to Trackunit Manager

  2. Go to the Inspections app

  3. Open the Assignments tab

  4. Tick the boxes for the assets you want to assign the template to

  5. Click Add Assignments in the blue bar at the bottom

  6. Select the inspections template from the drop-down

  7. Click Assign template

View inspection responses

  1. Sign in to Trackunit Manager

  2. Go to the Assets page

  3. Select the asset you want to review

  4. In Asset Home, click Inspections

  5. Open the Responses tab (default)

  6. On the list, click a response to view details

Set up inspection notifications

Notify technicians or other stakeholders when an inspection fails, so the asset can be repaired quickly.

  1. Sign in to Trackunit Manager

  2. Go to the Inspections app

  3. Click on the Notifications tab

  4. Click on Create notification

  5. Enter a name for your notification and click Next

  6. Select the notification type (currently email only) and click Next

  7. Select the condition (currently only "failed inspection")

  8. Select the assets for the inspection notification and click Next

    💡Tip: You can select your assets by filters or groups.

  9. Select the subscribers who should receive the email and click Next. You have the option to select:

  10. (Optional) Add a custom note to include in the notification

  11. Review your configuration and click Save

Note: If someone unsubscribes from a failed inspection email, they will stop receiving all future failed inspection emails.

To resubscribe, they must use the same link in the original email or contact Customer Support to have their email removed from the unsubscribe list.

Edit or pause an inspection notification

Edit a notification

  1. Sign in to Trackunit Manager

  2. Go to the Inspections app

  3. Click on the Notifications tab

  4. Click the three dots in the Actions column for the notification you want to edit

  5. Select Edit and update your settings

  6. Click directly on the tab Review & Save or click Next until you get to the review page

  7. Review your changes and click Save

Pause a notification

  1. Sign in to Trackunit Manager

  2. Go to the Inspections app

  3. Click on the Notifications tab

  4. Click the three dots in the Actions column for the notification you want to edit

  5. Select Pause if you want to deactivate the notification

  6. Confirm your choice and click Pause

  7. The status will change to Inactive
