How do I generate an Exception Report?

Use the Exception Report to detect out-of-contract use of your equipment.

Generate the report

Sign in to Trackunit Manager

  1. Select the Reports app in the left side menu

  2. In the Reports screen, click on the Exception Report

  3. Select a Date Range by creating custom range or selecting one of the predefined options

  4. Choose if you want to Filter By groups, clients, zones, or machines

  5. Zoom in on the particular groups/clients/zones/machine you want to include in the report. Choose from the dropdown menu. For machines, you can also use the search to find a specific name, brand, type and/or model

What you do next depends on whether you’re looking to:

  • detect any weekend activity

  • detect weekday usage above x hours a day

  • detect weekday usage outside of working hours

  • exclude trivial usage in all cases

  • detect machines not in use

Detect any weekend activity

  1. In Days of interest select Only weekend

  2. In Activity of interest select Any activity

  3. Click Generate report

This will show you all assets that were operating during weekends and the sum of those operating hours in the time interval selected.

Detect weekday usage above x hours a day

  1. In Days of interest select Only weekdays

  2. In Activity of interest select More than baseline

  3. In Activity baseline select the expected number of working hours

  4. Click Generate report

This will show you all assets that were operating more than x hours a day during weekdays.

Determine weekday usage outside working hours

  1. In Days of interest select All days

  2. In Activity of interest select Any activity

  3. In Hours of interest select Outside working hours

  4. Select Start and End hours of your working day

  5. Click Generate report

This will show you assets that worked outside of the work day hours agreed upon.

Exclude trivial usage in all cases

  1. Select your Days of interest

  2. Select your Activity of interest

  3. Choose expected number of minutes grace period

This will exclude assets with less than the indicated grace period activity. This way you can exclude scenarios of trivial usage, such as 10 mins spent for parking or any other activity that would not be considered as intentional overuse or breach of contract.




Detect machines not in use

  1. In Days of interest select All days

  2. In Activity of interest select Less than baseline

  3. Select the least amount of working hours that would indicate meaningful usage

  4. Click Generate report

This will show machines that worked less than a meaningful amount of hours that would qualify the machine to be used enough. For example, the reports could show the machines that worked less than 4 hours a day or did not work at all.

Use this report to identify machines that are standing still, or are barely being used, and relocate them to a site where they are needed. This way you can optimize the usage of your whole fleet and your customers do not have to pay for machines they do not use.


Reading the generated report

When you generate a report, you will see:

  • a summary of applied filters

  • an overview of assets with excess hours

The rest of the report consists of a daily overview of activity where out of contract use was detected.

  1. Total excess hours per chosen interval

  2. Days with deviation

  3. Date of activity

  4. Start and End time and location

  5. Daily activity summary

    1. Working day (Total sum of hours from the first to last activity of the day)

    2. Total distance travelled

    3. Total driving time throughout the day

    4. Total sum of operating hours

  6. 24 hour activity overview

    1. First row: hour of the day

    2. Second row: operating minutes within that hour of the day

    3. Third row: visual representation of operating minutes per quarter of an hour

Schedule the report
